This article provides guidance for a planner delegate, participant support officer, early childhood partner or local area coordinator to understand:

  • accessible formats.

This guidance comes from the Practice Guide — Assisting communication. We’ve made minor updates to change any NDIS Business System language to PACE language. We’ll make improvements to this guidance in the future.

Before you start

You have read and understood:

Accessible formats

The National Disability Insurance Agency (NDIA) has an arrangement with an external provider to offer NDIS plans and other documentation in braille and other accessible formats. You will need to check the participant’s preferred method of correspondence is up to date in PACE.

When you generate correspondence in PACE it will automatically request the accessible format with the external provider.

The NDIA is responsible for providing a copy of the following documents in the participant’s chosen accessible format:

  • the participant’s plan
  • other PACE generated letters.

Alternative accessible formats are available from an external provider, Vision Australia.

Large print letter

The available options are:

  • large font sizes - 18, 20, 22, 24, 26, 28 and 36.

Braille letter

The available options are:

  • double sided grade I letter
  • double sided grade II letter
  • single sided grade I letter
  • single sided grade II letter

We will provide all correspondence, including the participant’s plan in the participant’s preferred format. This will take place within 7 days after the plan comes into effect.

Please remind the participant that they can access audible versions of information. This can be done by installing ReadSpeaker from the internet.

Access Request Form

The NDIS Access Request Form (ARF) is available in braille. All NDIA staff, local area coordinators and early childhood partners who have an @ndis.gov.au email address can request an ARF in braille and have this sent via post directly to the participant.

Funding for accessible formats

The NDIA, local area coordinator or early childhood partner fund disability related supports to help a participant communicate with the NDIA. Funding arrangements at each stage of the NDIA pathway are:

  • Applying — funded by National Access and Reassessment Branch
  • Plan approval — funded by regional office budget, local area coordinator or early childhood partner budget.
  • Plan implementation and check-ins — where a participant might require braille support as part of the plan implementation process. Participants can access support from Vision Australia, which included up to 360 pages per financial year, converted to braille or audio. To learn more, go to Vision Australia Library FAQ (external).
  • Plan changes — funded by regional office budget, local area coordinator or early childhood partner budget.
