Before you start
You have either:
- received information that the participant’s disabilities need updating on their Person Account. or- begun with an Inquiry Case intended specifically for this purpose, having read and understood Article: Understand The Disabilities Tab In A Person Account, called upon Technical Advice And Practice Improvement Branch (TAPIB) if dealing with chronic or terminal health conditions as per Article: Create An Enquiry For TAPIB Assistance, as well as any other relevant advice provided in Requesting Advice.
Update Participant Disabilities Using Person Account Case
You can check if your system allows updating participants’ disabilities through their personal accounts.
Checking for Assigned Impairment Categories
From Person Account, select:
- My Profile tab, or-
- Impairment Categories, and proceed based on what appears there (if no categories are listed at ‘Approved’, refer next section).
Checking Open Varying Impairment Category Cases From Personal Accounts Select Cases, then in column Case Record Type look out specifically for cases marked as Vary Impairment Categories. If none exist or need further action with attached documents, follow steps below including adding any necessary evidence via article Add Evidence before logging an activity note using another article.Log Activity/Note.
If a delegate is assigned within this process step, notify them about new evidence added under Enquiry.
Consider if you need to refer the participant for an
eligibility reassessment
- Do you have information to suggest that this participant may not longer be eligible? If:
- No - Go on.
- Yes (you should consider referring them) see more.
Step Two
Use Section Review their original access decision in this article and check whether they met NDIS early intervention or disability requirements under both conditions.
Step Three
Did your participant meet these criteria with primary developmental delay, now likely meeting permanent impairment? If so,
do a referral using When_to_refer_the_participant_for_an_eligibility_reassessment.

Step-by-Step Instructions:
- From Person Account, choose
Casestab.- Click “New” button next step.
- Choose and click ‘Update Person Account’, then proceed with clicking Next.
- Fill out relevant details carefully before saving your changes (click Save).
- Select Tab labeled as ‘Update Person Account’. At Requested By?, select who made this request from drop-down menu; continue pressing “Next” until you reach Disabilities screen where you can update conditions listed there.

Instructions for Updating Primary and New Disabilities:
- Changing The Participant’s Primary Disability:
o At
Primary Disability, select arrow then click ‘Edit’. The screen will show underlined text. do Deselect checkbox labeled'Disability'(underlined). do Click Save after making changes; go next section titled “Select A new primary disability” with note that there can’t have more than one reported condition identified as this.
Section 4 Add a New Disability
Step-by-step guide adding additional conditions:
io Use either field marked: select reported condition OR assessed Impairment or use field marked: Assess assessed Impairments. ii If you are an access delegate, check if evidence is correct to mark verified box or skip it otherwise. note Verify when checked: Evidence provided from treating professional confirming disability AND verifying details via article link. tip Planner delegates don’t need verification unless planning decision-making requires so. il Enter today’s date at Start Date without future dates allowed. in Note only single primary disabilities exist per participant record. v If acquiring specific onset of disablement known enter Onset Date based on medical report else leave blank. Don’t add End Dates unnecessarily. note Only include end-date for cases where the impairment no longer applies e.g., added in error or not experienced anymore by individual involved.
