3 Additional information (Finalising Plan)

You need to record additional information in PACE before you can approve and generate a plan.

Select whether a plan variation may be needed. Record any supports in the Plan Meeting Notes. Once the participant gives us the right evidence, you can add the supports by doing a plan variation. The delegate who makes the plan change request will need this information.

Note: Additional Documentation with Plan and Approval Status sections are not yet operational. You don’t need to complete these.

  1. From Plan Meeting tab, select the Finalizing Plan tab.
  2. At Is a plan variation required? select either:
    • Yes, already created
    • Yes, intend to do later
    • Not required. Note: You must complete the Plan Variation section as this is a mandatory field. Regardless of what option you select, you’ll have to create the case once the right evidence has been provided. Go to article Prepare to submit a plan change request.
  3. Explain to the participant if you can approve their plan today. If you can’t, explain why and when they can expect this to happen. Go to article Approve and generate a plan.
  4. Record any Plan Meeting Notes and Handover Notes. Go to articles Add plan meeting notes and Add handover notes for a plan approval case.
  5. Select Next.

4 Record providers

Before you complete the plan meeting, you may need to record a provider relationship. When a provider is recorded, they can make claims against the participant’s NDIS plan when they deliver a support.

You’ll need to record a provider when:

  • Some or all of the plan has Agency-managed funding.
  • The plan has specialist disability accommodation (SDA), home and living supports or behaviour supports. These need to be recorded as a my provider with the relevant support category selected.
  • The participant is using a registered plan manager. The plan manager needs to be recorded as a my provider.
  • The plan has support coordination or psychosocial recovery supports. You must create a request for service (RFS) case, even if the participant hasn’t chosen a provider yet. Go to article Request for service overview and Complete the request for service.

You’ll need to talk to the participant about their provider relationships. If the provider isn’t known, add it as soon as possible. Go to articles Understand provider relationships and Add or update a provider relationship.

Participants with Agency-managed funds to pay for NDIS supports, can accept or decline provider relationship requests sent through the my NDIS provider portal. They can do this, and change the information they consent to share with providers, in the my NDIS participant portal. 5 Before completing the plan meeting

With the participant, their nominee or child representative:

  1. Advise we’ll send a copy of their approved plan using their preferred correspondence method. Note: You’ll need to tell the participant or authorised representative their new NDIS plan and plan approval letter will look different. You’ll need to explain:
    • the total funded supports budget ($) and support types haven’t changed
    • their NDIS plan will have comments explaining the type of NDIS supports included in their plan
    • these comments will help the participant better understand what supports they can buy with their plan
    • there’s information on how to protect their NDIS plan from fraud
    • For first plans only: there’s a glossary in plain English to help understand what terms mean
    • If required: the plan approval letter will include why we’ve declined a support.
  2. Provide a copy or a link to Fact Sheet – Using your NDIS plan (external).
  3. Ask if they would like an implementation meeting. Explain the purpose and benefits of the implementation meeting and next steps if they decide to have it. To learn more, go to articles Understand implementation meetings and Offer an implementation meeting.
  4. Give details of their my NDIS contact if they need help with their plan.
  5. Explain what to do if their situation changes. Go to Our Guideline – Your plan (external).
  6. Explain the participant’s review rights.

Let the participant know, once their plan is approved, their plan approval letter will include their review rights. If the participant doesn’t agree with a decision after you’ve explained it, you can help them ask for a review. For more information, go to Our Guideline – Reviewing our decisions (external).
