2 Before you start

You have created a plan approval case.

Note: If you need advice from other NDIA specialist areas, for example the Technical Advice and Practice Improvement Branch (TAPIB), you’ll need to create a Technical Advice case. 3 Check if you need a request for information

Review the participant’s information and budget. Look at the information you’ve reviewed and decide if you have enough information to make a plan approval decision. If you don’t have enough information, you need to make a request for information (RFI).

If you need to clarify something simple, contact the participant by phone as you don’t need to make an RFI. Record the conversation in Internal Notes. For more information on how to log an internal note, go to article Log an activity or internal note.

An RFI is a request you make to the participant, provider or authorised representative.

For example:

  • a progress report from a support coordinator
  • an assessment from an allied health professional
  • more information about the functional impact of a permanent impairment.

Note: The Participant Service Guarantee (PSG) Milestones timer in PACE for the plan approval case will stop until we receive the requested information. For more information on PSG, go to the Participant Service Guarantee (external).

4 Make a request for information

1.  Contact the person by phone or email if you have the authority to do so.

2.  In the Plan Approval case, select the Funded Supports tab.

3.  Select Request for Further Information.

4.  Select the items you need further information on.

5.    If the information you need is not one of the options, select Others. Describe the
    information you need in the Item Detail, for example a progress report from a support
    coordinator.

6.  Select Next.

7.  At Doc Gen Placeholder screen, select Next.

8.  At Request has been sent screen, 'The request for information have been sent to the
    relevant person(s). The SLA for the completion of Plan Approval will be paused until the
    information has been provided' message will appear.

   Note: This will not generate or send a letter to the participant but creates the
   Milestones. If you need to send the participant a written request, go to article Complete
   a manual request for information letter.

9.  Select Next.

You’ll have 14 days to complete the RFI task. You can check how much time is remaining in Milestones. You’ll get a reminder in Notifications 2 days before the task is due.

If you don’t receive the information, you can phone or email a reminder to follow up.

4.1 Create an RFI task

To create the RFI task from the Plan Approval case:

1.  At the Plan Approval case, select the Add RFI Feedback at the top right corner.

2.  At Add RFI Feedback screen, add information of the item you would like to get more
    information on in the RFI Feedback free text box.

3.  Select Submit.
